An account is required for every potential billable person in Mabdeck. This could be an owner of a property who will be responsible for the bills should there be a void period, or a tenant of a property.
An owner account may not be an individual owner, but a company or organisation who would be responsible for any energy usage should the property be unoccupied.
If you're completing a change of tenancy on a property, or setting up your owners and tenants for the first time, an account for each billable person will need to be added first!
Adding an Account
An account can be added from the Accounts section of the System Configuration page. Click Add Account to open the setup form.
Select the client and network that the account should be attached to, then type in your account number. If you have set up an account number to generate automatically, click the generate button.
A payment card number and payment reference number can also be added at this stage.
Payment Card Number: The 19 digit payment card number which can be used by the resident to top up their PAYG meter, or make payments towards a statement. This number will generate a barcode onto the statement which the resident can use to make a payment in store.
Payment Reference Number: A unique reference number which can be used by a resident when Making payments through our automated phone system.
Fill in the resident's contact details using the Billable Person section of the form. If you need to add a second person's details onto the account, click the Add Another Person button. This may be a customer who's details you need to keep on the system, but who is not the main account holder.
The billable address fields allow you to specify the address to where any correspondence should be sent. This may be different to the property address. If an account is not physically living in the property, but is still receiving the statements for the property, then you would need to add in their billable address here instead!
Click Add to save the Account to Mabdeck.
Adding Multiple Accounts?
If you're uploading multiple accounts all in one go, you may want to use a bulk import spreadsheet instead. This allows you to upload multiple accounts into the system at the same time, which is especially helpful when you're setting up a network for the first time.
Our bulk import spreadsheets can be found on the second tab of the Mabdeck menu. Click on Accounts to download a template. For more information on bulk importing data, check out our help article.
Next Steps
Once your account has been added and exists on the system, you will need to complete a move in to link it to a property! Check out our help articles for more information. You will need to complete different processes depending on whether this is the first ever move in on the property, or a change of tenancy.
